Information you provide

When you send an enquiry, we collect the contact and trip details you enter. These may include your name, email address, phone number, nationality, travel dates, pick-up location, group size, desired destinations and other requests. Fields marked with an asterisk are required to submit the website form.

Please share only what is needed to plan your journey. Do not include passport numbers, payment card details or unnecessary sensitive personal information.

How we use your information

We use your details to respond to your enquiry, prepare a proposed itinerary and quote, arrange requested travel services and manage related correspondence. Sending an enquiry does not subscribe you to marketing messages or confirm a reservation.

Website enquiries and email

The website sends an enquiry notification to our team and attempts to send a confirmation email to the address you provide. We handle the resulting correspondence in our business email account, which uses Gmail. Website hosting and email service providers process information as needed to operate these services.

The form does not create a permanent enquiry record in the WordPress administration area. Temporary technical records support submission confirmation and abuse prevention; correspondence remains in the relevant email accounts.

WhatsApp enquiries

Choosing a WhatsApp link opens WhatsApp with a suggested message. You can review and change it before sending. Information you send through WhatsApp is also handled under WhatsApp’s Privacy Policy. Opening a WhatsApp link does not submit the website enquiry form.

Sharing needed for your journey

We may share the details needed to plan or deliver your requested journey with relevant transport operators and other service providers. We do not sell your personal information. Information may also be disclosed where required by law.

How you found OkinawaVia

When you submit the website enquiry form, we may include the referring website’s domain, the first page you visited on this site, the enquiry page and campaign-link information (such as UTM source, medium and campaign) in our team’s notification email. We use this information to understand which sources lead to enquiries and improve how people find our service.

This information is kept temporarily in your browser’s tab session so it can accompany your enquiry after you move between pages. It is refreshed for a new visit after 30 minutes of inactivity between page loads, and browser session storage normally ends when the tab is closed. Source information may be unavailable when an app or browser does not provide it. Referring-site paths and query strings, and advertising click-ID values, are not included in our enquiry tracking data.

Technical information and security

Our hosting and security services may process technical information such as IP addresses and access logs to operate and protect the website. The enquiry form uses temporary, hashed IP-based records to limit repeated submissions and a temporary receipt record to display submission confirmation.

We restrict administrative access and take reasonable measures to protect information. Third-party services such as Gmail and WhatsApp may process data outside Japan according to their own service terms and privacy policies.

Retention and your requests

We retain correspondence for as long as needed to handle your enquiry, provide requested services and meet applicable legal obligations. You may ask about your personal information, request access or correction, or request deletion or cessation of use where applicable under Japanese law.
